Attendance at all meetings the Bride requests virtual or in person (schedule permitting)
Assist in creating Budget Breakdown and allocation sheet
Research vendors and assist in decisions and booking
- Gather and negotiate contracts with vendors
- Complete vendor management
Keep a main calendar and remind couple of upcoming important dates by email or text
Assist the couple and their families with budgetary, etiquette and sensitive family issues
Creation of complete Ceremony & Reception Timeline, Agenda, Shot Lists, Day of Checklists, Song Lists & Layouts
Attendance at the rehearsal and run it completely if the officiant wishes
- Begin decor set-up at rehearsal if possible

Onsite Functions Include:

Assisting in complete set up of decor including:
- Table decor: centerpieces, runners/garland, table numbers, menu cards, chargers, etc.
- Signage: seating chart, welcome signs, table signage, bar signage, etc.
- Ceremony: aisle decor, memory table, unity ceremony, VIP seating cards, etc.
- Reception: guest book, cake table, favors, photo booth etc.
Put on linens (if the venue doesn’t do this)
- If couple is providing their own napkins, napkin folding designs can be requested and prepared with advance notice
Confirm all tables and chairs are in correct placement
Clean up decorations from ceremony & take them to the reception
Manage bridal party including line up for processional
Provide emergency management
- planner will have full wedding kit with emergency materials
Line up Bridal Party for grand entrance
Coordinate all rituals so that they flow seamlessly and vendors are prepared
Make final payments to any vendors & disperse tips
Gather up all gifts and decor & help get them into correct car
Assist in full tear-down & clean up
- Ensure rentals are to be returned
- Venue decor is returned
- Personal decor packed up and with designated people
Leave reception hall in the condition it needs to be in

Three meetings (60 minutes each) to discuss timeline, agenda, & set up details
Creation of Wedding Ceremony & Reception Timeline, Agenda, & Layout
Complete run through of checklists for wedding day materials
Lead Coordinator attendance at the rehearsal
- Runs the rehearsal along with the Officiant
- Confirms Bridal Party placement at “Altar”
- Processional lineup
Ceremony tips & tricks

Onsite Functions Include:

Lead Coordinator & Event Assistant arrive 2 hours prior to the ceremony
- Prepare final touches of decor
Complete coordination of ceremony:
- Confirmation Rings, Guest Book, Programs, Unity Ceremony are in place
- Confirmation VIPs have their corsages & boutonnieres
- Processional lineup
- Cueing music & bridal party down the aisle
- Assistance with management of guests between ceremony and reception
Provide emergency management
- planner will have full wedding kit with emergency materials
Communicate with and confirm all vendors have the correct timeline and stay on track
Make sure everything is ready for the grand entrance (line up party)
Manage the timeline through dinner and rituals:
- Release tables for dinner if needed
- Keep timeline on track with the DJ (Bouquet & Garter toss, First Dances, Anniversary Dance, $ Dance, etc.)
- Once rituals are done (typically up to 90 minutes after dinner) The Lead Coordinator & Event Assistant will check in with the couple to make sure things for the rest of the evening is set then they will leave.
